Project: Technical Assistance for the 11th EDF Intra-ACP Natural Disaster Risk Reduction Programme
The project contributes to reducing the impact of disasters caused by natural hazards and extreme events as well as building and strengthening the resilience of the Organisation of African, Caribbean, and Pacific States (OACPS) members.

A particular focus of the programme is developing and sharing knowledge on disaster risk reduction among OACPS countries and key ACP stakeholders through the provision of a knowledge management system, e-learning, and training. DAI experts will also provide analytical work—technical studies, policy notes, research papers—on a demand-driven basis.

Project Assistant

Job Objective: To support the project team by acting as Project Assistant (PA) to the Key Expert Team comprising Team Leader – Key Expert (KE) 1, Key Expert 2 and the Backstopping Team comprising Project Director and Project Manager.

Reporting to: Day-to-day reporting to Team Leader – Key Expert 1;

Responsibilities:

  • Research and analysis of relevant policies and best practice documents, collection and collation of relevant information and data.
  • Drafting of background documents and provision of support in drafting technical reports.
  • Provision of support to the project team during field missions (site visits, workshops, conferences etc.) including preparatory work and follow-up.
  • Organisation and coordination of meetings and events (virtual, in-person and hybrid) including preparation and issuing of invitations and joining instructions, transportation and venue logistics (where not covered by partner organisations), management of virtual meeting links (Microsoft Teams, Zoom, WebEx) and other related tasks.
  • Note taking and preparation of meeting minutes.
  • Preparing letters or translations as needed, editing and formatting documents.
  • Project/KE calendar coordination
  • Other tasks as indicated including assisting with administrative tasks as assigned by the Team Leader and/or the Project Manager (support to day-to-day Project Management: identification of experts; contracting; financial and administrative follow-up; etc.).

Qualifications & Skills:

  • A university degree in a relevant field (e.g. climate, environment, other related areas)

General professional experience:

  • Minimum 2 years of professional experience in a relevant field (climate change, environment, disaster risk reduction);
  • Experience with donor-funded or international development projects is an asset.

Specific professional experience

  • Previous experience in EU, OACPS or other donor funded projects would be considered as advantage
  • Attentive to detail and excellent organisation and planning skills
  • Excellent computing skills including fluency in Word, Excel and PowerPoint essential;
  • Demonstrated ability to work effectively as a team player in a dynamic environment
  • Flexible and willing to undertake a wide variety of non-routine tasks
  • Fluency in English is required, also proficiency in French is preferred, and an ability to work occasionally in a translation or interpreting role will be an advantage;

Indicative starting date: ASAP, 1 June 2023
Duration: Full-time, until the end of the project (July 2027)
